Structure and Functions of the Order Explorer in Hello Pine

This article addresses the specially developed Order Explorer by Hello Pine. The Order Explorer displays essential information and data for individual orders, facilitates management, and provides additional functions.

1. You can find the Order Explorer by clicking on "Orders" in the Hello Pine menu bar on the left. There, you will see a list of your orders for each respective channel. This section provides an overview of order numbers, names, dates, and additional information. To use the Order Explorer, simply click on any order.

 

2. When the Order Explorer opens, it displays fundamental data such as the Channel Order Number, Shop Order Number, and Fulfillment Status. We discuss the various order statuses in detail in a separate paragraph. The user can easily copy and paste this data using the attached icon. Here, the user has an overview of all relevant order data in one tab. Additionally, the product name, product SKU, stock information, which update with the order and item prices  are also displayed.

Furthermore, the tracking number and return numbers are presented in the overview. The respective shipping providers for each individual product are also indicated here.

The Various Shop Order Statuses

1. If the order has been successfully transmitted to the shop, the respective shop order number will be highlighted in green. This indicates that the communication between the channel order and the shop was successful!

2. There is also the case where the shop order is not available. In such instances, "not pushed to shop" will be displayed under the shop order number, and the Order Explorer will show an error message such as: "Error: There seems to be an issue with processing your order. Please check the error message below."

This error can have multiple causes. For instance, if the order is new, it may take up to 15 minutes to synchronize, or the stock for the order may have dropped to zero. Therefore, the Order Explorer is efficient for identifying potential errors. Since the stock of each product is displayed in the Order Explorer, the user can quickly address and resolve the error independently.

The Various Fulfillment Statuses of the Order

There are six different fulfillment statuses: “Ready,” “Fulfilled,” “Cancelled,” “Returned,” “Await Payment,” and “Partially Returned.”

The status “Ready” indicates that the order is properly placed and is ready to be shipped or proceed to the next processing steps. The status “Fulfilled” means that the order has already been shipped and everything has been successfully completed. The status “Cancelled” signifies that the order has been canceled in the channel. It is important to note that orders cannot be canceled in the Order Explorer. Users can only modify the order in their channel backend, and this action will be synchronized and displayed by Hello Pine.

The status “Returned” appears when the respective order has been sent back or a return has been registered. In this status, the user can also view the return tracking number and the shipping provider in the Order Explorer. The final status, “Await Payment,” indicates that the order has not yet been transmitted to the shop because the payment is still pending. The order will only be forwarded once the payment has been received.

Additionally, there is the status “Partially Returned.” In this status, a return has been initiated, but the return tracking number and shipping provider have not yet been provided. Once these details are added and the order is successfully sent back, the status will change to “Returned.”

Additional Important Functions

The Order Explorer also offers additional actions that the user can perform directly in the Hello Pine backend. If an order number has not been transmitted, the user can click on “Action” and then select “Refresh Fulfillment.” It is important to note that “Refresh Fulfillment” only works if the order has been passed to the shop. This function retrieves the order from the shop, reimports all shipment data, and then triggers the transmission to the channel. The action “Reset Order” resets the entire order and resends all data.
